Website maintenance proposal: a buyer’s checklist

Learn what to request in a website maintenance proposal: defined tasks, response commitments, backups, reporting and a clear handover process.

A useful website maintenance proposal defines responsibilities, measurable tasks and service boundaries. It should answer a practical question: if enquiries stop arriving, who investigates, when does work begin and which activities cost extra?

Provide enough information for a meaningful estimate

Describe the platform, websites, languages, integrations and known problems. For an online store, include payment and delivery services. Explain busy periods and identify the person who approves changes. Initially, provide an inventory of available accounts rather than sending passwords in plain text.

Separate maintenance from new development

Maintenance keeps the existing solution working. A new discount engine, integration or redesign adds functionality. When a proposal promises unlimited support, request examples of included and excluded tasks. The service boundaries should be clear before you need to rely on them.

  • Which updates are covered, and where are they tested?
  • How is backup recoverability checked?
  • How are requests submitted and working hours recorded?
  • Who owns the domain, hosting account and paid licences?
  • What is handed over when the service ends?

Define priorities through examples

An unavailable website and a request to replace a photograph require different priorities. Define a critical incident, a broken function and a routine edit. Specify support hours, initial response commitments and escalation routes for each. Resolution time may depend on the underlying cause and external providers.

Ask for a useful monthly report

The report should describe completed changes, test results, incidents and recommended next steps. A list of updated plugin versions does not prove that enquiry delivery works. Completed tasks should be clearly separated from unresolved risks and work awaiting approval.

Can we begin with a short service period?
